Your data

“What we do with your details.”

The short version: we collect very little, use it only to run the club, and delete it when you ask. The longer version follows.

The basics

“Who we are and what we collect.”

Who is responsible

The operator named on the About page and in the footer is responsible for the personal information collected through this website. The club's volunteers handle member enquiries day to day, using the crew email address shown on the contact page, and they work from the operator's instructions.

What the forms collect

The join form asks for your name, an email address, what you enjoy playing and, if you wish, a nickname and a few words about yourself. The contact form asks for your name, an email address, a topic and your message. Nothing else is required. We never ask for your birthday, your address or anything about your health.

Why we use it

We use what you send for a handful of everyday jobs:

  • to reply to your note and suggest a good night for a first visit;
  • to send you the chat server invitation and the weekly list;
  • to place you in a league team or on the ladder if you enter;
  • to keep a simple roll of who takes part, so the crew knows who is in the room.

Join and contact details are kept while you take part and for up to twelve months afterwards. Messages sent through the contact form are deleted after three months unless the conversation is still going.

Our basis for using it

We use your details because you asked us to by sending a form, and because running a members' club needs a simple record of who is involved. Where we depend on your consent, for example for photos, you can withdraw it at any time. We follow the Australian Privacy Principles in how we collect, use and store personal information.

The details

“Cookies, age and your say.”

Cookies

The site keeps two small items in your browser: one that remembers you confirmed your age, and one that remembers your cookie choice. The cookie preferences page lists both, along with how long they last and how to change them.

Under 18s

The community is for adults, 18 and over. We do not knowingly collect information from anyone under 18, and if we find an entry that came from someone younger we delete it straight away and let the sender know.

Keeping it safe

Form details are sent to an email account that only the crew can open, and access is limited to the volunteers who need it. We never sell your details, never hand them to advertisers, and never put them in the chat server or on a screen in the club room.

Asking about your data

You can ask to see what we hold about you, to correct it or to have it deleted, by writing to crew@harbourlan.com or ringing the number on the contact page. We reply within a few days. If you are unhappy with the answer, you can take the matter to the Office of the Australian Information Commissioner.

Changes to this notice

If we change how we handle information, this page changes first. Anything that affects what you agreed to will also be mentioned in the chat server, so regulars hear about it before the change takes effect.
